myIT Tip of the Week

myIT Tip of the Week

Setting up an Out Of Office reply.

If you are using Outlook 2016 on your computer, click on File in the upper left, then click on Automatic Replies (Out Of Office).

If you are using the Hornet365 website, click on the Settings button in the upper right, then click on Automatic Replies.

You can then manually start the automatic replies, or you can select a date range for when you want the replies to be sent.  You can send a different message to internal and external email addresses if you’d like.  After you select the date range, type the message you want to send in the message field, then click OK.  If you’ve not selected a date range, the messages will start being sent immediately, otherwise they will start at the selected date and time.

PC's are being Powered Up!

Sometimes, a minor upgrade can really give your PC a performance boost and extend its life by a year or more.  In IT, we're now providing the service of replacing older hard drives with new, speedy solid state drives (called SSD's), as well as upgrading to the latest Windows 10 version.  Users can expect to see around 30% greater performance when booting your PC and working with files in Windows 10.  The service is available to most University-owned computers purchased in the last 2-3 years.  There are two options available:  a 256 GB SSD for $120 or a 512 GB SSD for  $200.  There is no charge for Windows 10, however the service is not available if you want to keep Windows 7.  Additionally, extra memory may be added to your PC to give it an even greater boost at a very minor cost.  If you are interested, please contact the IT Help Desk to request a technician verify your computer is a suitable candidate and discuss which options will result in you seeing the most benefit.
IT is also advancing an initiative to "Power Up" public lab computers over the next few months.  We will be adding new SSD's to supported public lab computers at no cost to the lab owner.  We have completed the lobby of William Allen White library and will next be working on the LEC, 2nd floor WAW PC's, Richel Learning Space, and the Communications/Theatre Lab.

How to Share a OneDrive File by Email in Outlook 2016

Did you know that you can give full editing or read rights to your files you are sending from Outlook? You can send a copy of the file, or you can send it with the right to edit and view changes.  When you share a file from a web location it will send a link of the file to the recipient.

Here is how it works:

1) Start a new email. Click on ‘Attach file’.

2) When you look at ‘Recent Items’ some files may have a cloud icon. If you attach the file with the cloud or if you choose to ‘Browse Web Locations’ and attach the file you will give editing rights by default and they will be able to see any changes you make and vice versa. From the drop-down menu on the file under ‘Change Permissions’ you may change the editing rights to ‘Recipients can view.

3) If you choose a file without a cloud icon or choose 'Browse this PC', the file will only be attached. No sharing will be done by default, and the user will not be able to see any changes you make.

4) Take a look at the two attached files to see the differences.

When attaching a file be aware that you could be giving editing rights. Just look for the cloud icon on the file to be sure. If you just want to send a copy of the file and not share any changes be sure to choose 'Browse This PC' and attach the file. Visit our myIT page for more tutorials.

How to submit an issue to the IT Help Desk

This week, we wanted to give everyone a quick refresher on submitting issues to the IT Help Desk.  There are multiple ways you can do this.  Three of the more common ways are:

1. Call us – On campus, dial extension 5555; off-campus or cell phone, dial (620)341-5555, or toll-free 1 (877) 341-5555.  When you call, the Help Desk agent taking the call will create a ticket for your issue.  If we are unable to answer your call, leave a voice mail, with your name, and number and we will call back as soon as possible.

2. Email us at helpdesk@emporia.edu.  An email will automatically create a ticket in our system.  Be sure to put all the particulars in your email about your issue, and how we can reach you (phone number) to help you resolve your issue.

       3. On campus, you may stop by our office in Cremer Hall, room 149.

During the regular semester, we are available 8:00 am to 9:00 pm Mon-Thurs.  Fridays, we are open 8:00 am to 5:00 pm.  Saturdays the desk is manned 11:00 am – 3:00 pm, and Sundays 5:00-9:00 pm.

More to know about submitting tickets:

You will receive an acknowledgement email with the ticket number (for your reference), when the ticket has been submitted. If you do not receive an email within 4 hours, please call back in case there is a backlog, or an error.  If you called and your issue was resolved during the initial phone call you will receive one email indicating the problem was resolved and the issue closed.  If we were unable to resolve it during the phone call, and we escalate the issue to the next team, you will receive at least two emails – one, when the ticket was opened, and one, when it is resolved.

Similar to phone calls, you will receive an email acknowledgement when you email the Help Desk. If, we don’t have a phone number, or office location on campus, you will likely get an email requesting more information about your issue. It, too, will have a ticket number for tracking.  If you need to respond, simply reply to the email, and it will keep the information in the same ticket.

If possible, please do not CC anyone else if you email your problem to us.  If others on the email “reply to all” it also emails the Help Desk.  But because they are not the original ticket creator, replying to all will re-send the issue back to the Help Desk, creating multiple tickets, and some confusion, which may delay addressing your issue.

We also have answers to many common questions and encourage you to visit our myIT site for more how-tos and information.
