How to Share a OneDrive File by Email in Outlook 2016 

Did you know that you can give full editing or read rights to your files you are sending from Outlook? You can send a copy of the file, or you can send it with the right to edit and view changes.  When you share a file from a web location it will send a link of the file to the recipient.

Here is how it works: 



1) Start a new email. Click on ‘Attach file’. 

2) When you look at ‘Recent Items’ some files may have a cloud icon. If you attach the file with the cloud or if you choose to ‘Browse Web Locations’ and attach the file you will give editing rights by default and they will be able to see any changes you make and vice versa. From the drop-down menu on the file under ‘Change Permissions’ you may change the editing rights to ‘Recipients can view.

3) If you choose a file without a cloud icon or choose 'Browse this PC', the file will only be attached. No sharing will be done by default, and the user will not be able to see any changes you make.

4) Take a look at the two attached files to see the differences. 


When attaching a file be aware that you could be giving editing rights. Just look for the cloud icon on the file to be sure. If you just want to send a copy of the file and not share any changes be sure to choose 'Browse This PC' and attach the file. Visit our myIT page for more tutorials.
